What we collect, why we collect it, who else touches it, and how to get it back or get it deleted.
Effective 10 August 2026. Last updated 10 August 2026.
BotPulsar collects the account details you give us, the contact and conversation data you bring into your workspace, and standard technical logs. We use it only to operate your workspace, we do not sell it, and we do not use your customer conversations to train AI models for anyone else. WhatsApp message content also passes through Meta's WhatsApp Business Platform, which Meta processes under its own terms — that part is outside BotPulsar's control and is described below.
Who is responsible for what
For the personal data inside your workspace — your contacts, their phone numbers, and your conversations with them — you are the data fiduciary and BotPulsar is the data processor. You decide what to collect and why; we process it on your instructions.
For your own account data — the details you gave us to sign up, and your billing records — BotPulsar is the data fiduciary.
Meta is an independent controller of WhatsApp message content in transit through the WhatsApp Business Platform. Your WhatsApp Business Account lives in your own Meta Business Manager, not inside BotPulsar.
What we collect
- Account data: name, work email, phone number, company name, and the password hash for your login.
- Workspace data: the contacts you import or that message you, message history, templates, campaign records, notes, tags and pipeline stages.
- Billing data: plan, invoices and payment status. Card and UPI details are handled by our payment gateway and are never stored by BotPulsar.
- Technical data: IP address, browser and device type, and timestamped request logs, kept for security, debugging and abuse prevention.
- Support data: anything you send us in an email, WhatsApp message or support conversation.
Why we use it
- To run the service you signed up for — sending and receiving messages, delivering campaigns, running automations and showing analytics.
- To bill you, and to send service notices about outages, security and changes to these terms.
- To provide support when you ask for it.
- To detect and prevent abuse, fraud and violations of Meta's policies.
- To meet legal and tax obligations in India.
What we do not do
- We do not sell personal data, and we do not share it with advertisers or data brokers.
- We do not use your workspace's customer conversations to train AI models for other customers or for third parties. AI features act on your workspace's own data, for your workspace.
- We do not message your contacts on our own behalf.
Who we share it with
Only the processors needed to run the service, each bound to protect the data and use it for nothing else:
- Meta Platforms — WhatsApp message delivery, template approval and quality ratings.
- Cloud infrastructure providers — AWS and DigitalOcean, for hosting and storage.
- Payment gateway — to collect subscription payments and issue invoices.
- Any integration you connect yourself — a CRM, store or automation tool receives exactly the data that integration is configured to receive, and only while you keep it connected.
- Authorities — where a valid legal order requires it. We tell you unless we are legally barred from doing so.
Where it is stored, and for how long
Data is stored on AWS and DigitalOcean infrastructure, encrypted in transit over HTTPS/TLS and encrypted at rest in the database.
Workspace data is retained while your account is active. After you close your account we delete or irreversibly anonymise it within 90 days, except billing and tax records, which Indian law requires us to keep for up to eight years.
You can export your contacts and message history at any time while the account is active, and you can ask for earlier deletion of specific data.
Your rights
Under India's Digital Personal Data Protection Act, 2023, you can ask us to confirm what personal data we hold about you, correct or complete it, erase it, or nominate someone to exercise these rights if you cannot. Where our basis for processing is your consent, you can withdraw it at any time.
If you are one of our customers' contacts rather than an account holder, the fastest route is the business that messaged you, because they control that data. You can also write to us and we will route your request to them.
Consent and opt-out on WhatsApp
Meta requires opt-in before a business messages someone on WhatsApp, and requires that opt-out be honoured. BotPulsar records opt-in source and timestamp and processes STOP-style replies, but the obligation to collect valid opt-in sits with the business sending the messages, not with BotPulsar.
Cookies
The marketing site runs no analytics or advertising scripts and sets no tracking cookies. The application at app.botpulsar.com sets a session cookie so you stay logged in, and a preference cookie for settings such as theme. Neither is used for advertising.
Children
BotPulsar is a business tool and is not directed at children. We do not knowingly create accounts for anyone under 18. Schools and coaching institutes using BotPulsar to reach parents and guardians remain responsible for handling student data lawfully under their own obligations.
Changes and how to reach us
We will notify account holders by email before a material change takes effect. For any privacy question, correction, erasure request or complaint, contact our grievance officer using the details in the contact block below. We acknowledge within 72 hours and respond substantively within 30 days.
