WhatsApp Flows: what they are and when to use them instead of a chatbot

Published 2026-08-08 · Updated 2026-08-08 · 6 min read

A WhatsApp Flow is a structured, form-like screen that opens inside the chat — dropdowns, date pickers, multi-step forms — instead of a back-and-forth text conversation. Use a Flow when you need structured data from the customer; use a chatbot conversation when the interaction genuinely needs open-ended understanding.

What a Flow actually is

Flows render native form elements inside WhatsApp — radio buttons, dropdowns, date pickers, checkboxes — rather than asking a customer to type free text that then has to be parsed. That matters for anything with a defined answer set: booking a slot, selecting a product variant, filling a structured intake form.

Where a Flow beats a chatbot conversation

A free-text conversation has to interpret what the customer typed, which introduces ambiguity a structured Flow avoids entirely — a dropdown cannot be misspelled or misread. For any interaction with a fixed set of valid answers (appointment slot, product size, yes/no consent), a Flow reduces both completion friction and downstream data cleanup.

Where a chatbot or AI agent still wins

Genuinely open-ended questions — 'does this work with my setup', 'what's the difference between these two plans' — need a conversational agent, not a form. Most real deployments combine both: a Flow to capture structured intake, then an AI agent or human to handle whatever does not fit a form field.
