WhatsApp fee reminders for schools and coaching institutes

A WhatsApp fee reminder is an approved utility template sent to a parent before and after a fee due date, usually with a payment link. Limitations to know first

  • The first reminder must be a pre-approved template; free-text reminders only work if the parent messaged you in the last 24 hours.
  • BotPulsar sends the reminder and the payment link; it is not a fee ledger. Paid/unpaid status comes from your ERP or payment gateway.
  • Parents must have opted in to WhatsApp messages from the school — a phone number on an admission form is not automatically consent.

Fee reminders on WhatsApp: common questions

Is a fee reminder a utility or a marketing message on WhatsApp?

A reminder about a fee that is actually due, with no promotion in it, is a utility message — Meta's lower rate. Add an offer such as an early-payment discount and Meta will classify it as marketing instead.

Can the reminder include a payment link?

Yes. The template can carry a URL button that opens your payment page or a Razorpay payment link, so the parent pays from the chat.

Can we stop reminders automatically once a parent has paid?

Yes, if paid status reaches BotPulsar — through the REST API, a Razorpay payment event or an updated contact field. The workflow checks it before each send and skips anyone marked paid.

Can we send fee reminders in Hindi?

Yes. WhatsApp templates are approved per language, so you can hold an English and a Hindi version of the same reminder and send each parent the one they prefer.

Do we need a developer to set this up?

No, for a CSV-based setup. A developer is only needed if you want paid status to sync automatically from your own ERP.

What if a parent replies to the reminder?
